Welcome to Phuentshok Tours & Treks. Please read these Terms & Conditions carefully before confirming your Bhutan Experiences™ journey with us. These terms are designed to ensure a smooth, transparent, and well-organized travel process for both travellers and our team.
By confirming a booking, you acknowledge that you have read and agreed to the following terms.
1. Booking Process
When you submit a booking or inquiry request through our website, a tentative Bhutan Experiences™ booking is created for review. This is not yet a final confirmation, and payment is not required at this stage.
At this point, the price shown is a preliminary quote based on your selections. While this often ends up being the final payable amount, we manually review all submitted bookings to ensure:
- You’ve selected everything you actually need.
- No unnecessary or duplicate services are included.
- Special considerations or preferences (if any) are taken into account.
This verification process helps avoid errors and ensures you only pay for what’s necessary — saving both time and cost. It also gives us a chance to clarify any unclear selections and tailor the experience better to your needs.
After reviewing your request, we will contact you to confirm the itinerary, services, availability, and final quotation. Once approved, we will send your booking confirmation along with payment instructions and the next steps for visa processing.
2. Payment
Payment instructions will be provided only after your Bhutan Experiences™ itinerary, travel services, and final quotation have been confirmed. Once confirmed, we will issue an invoice outlining the total amount due, payment details, and payment deadline.
We currently accept international bank transfers and selected international payment services such as Wise, Ria, or similar transfer platforms, depending on availability and region. Please contact us before making any payment so we can confirm the most suitable payment method for your booking.
Payments should only be made based on the invoice and instructions provided by Phuentshok Tours & Treks. Once payment has been sent, travellers must provide proof of payment so we can verify the transfer and begin visa processing and final booking arrangements.
Your booking will only be considered confirmed after payment has been received, verified, and the required traveller documents have been submitted for visa application purposes.
Until confirmation is completed, all proposed itineraries, hotel arrangements, transport, and travel services remain tentative and subject to availability.
3. Traveler Information
During the initial inquiry or booking stage, we only collect limited information from the lead traveller in order to communicate and prepare the preliminary Bhutan Experiences™ proposal.
The full and detailed information of all travellers will be collected separately after booking confirmation. We follow this process intentionally to protect your privacy and ensure the security of sensitive personal data. By avoiding the collection of full traveler details online, we significantly reduce the risk of data breaches and unauthorized access.
While we do not store your personal information on our website, we will need to enter your details into the immigration interface in order to apply for your Bhutan visa. This information is required by the Bhutanese immigration authorities to process your visa and will be used solely for this purpose. All data will be handled securely and only shared with authorized government entities.
4. Visa & Travel Documents
Bhutan requires a visa for most international travellers, except citizens of India. Phuentshok Tours & Treks will apply for your Bhutan visa on your behalf after payment and the required traveller documents have been received.
Travellers are responsible for ensuring their passports remain valid for at least six months beyond their travel dates and that they meet any additional entry requirements relevant to their nationality.
5. Cancellations & Refund Policy
If you need to cancel your trip, please notify us in writing via email. Refunds will be processed according to the following schedule:
- 30 days or more before travel date: Full refund.
- 21–29 days before travel date: 10% cancellation fee.
- 16–20 days before travel date: 15% cancellation fee.
- 15 days or less before the travel date, or after arrival in Bhutan: No refund.
Please note: No refunds will be given for no-shows, early departures, or unused services once your tour has started.
7. Tour Modifications & Liability
Bhutan travel conditions may occasionally require itinerary adjustments due to weather, road conditions, safety considerations, festivals, government regulations, or unforeseen circumstances. When necessary, we will always try to provide suitable alternatives while maintaining the overall quality and integrity of the Bhutan Experiences™ journey.
While we make every effort to ensure a smooth and meaningful travel experience, Phuentshok Tours & Treks cannot be held responsible for delays, losses, damages, injuries, or disruptions caused by circumstances beyond our control.
8. Health & Safety
Travellers are responsible for ensuring they are physically fit and medically prepared for the activities included in their Bhutan Experiences™ itinerary.
9. Travel Insurance
We strongly recommend that all travellers purchase comprehensive travel insurance before travelling to Bhutan.
Travel insurance should ideally cover trip cancellation, medical emergencies, evacuation, travel delays, personal belongings, and trekking or adventure activities where applicable.
Phuentshok Tours & Treks is not responsible for costs resulting from travel disruptions, medical emergencies, missed flights, cancellations, or situations not covered by the traveller’s insurance policy.
10. Code of Conduct
Bhutan holds deep cultural values and strict environmental regulations. Visitors are expected to behave respectfully toward local communities, religious sites, cultural traditions, wildlife, and the natural environment throughout their journey.
We kindly ask all travellers to respect local customs, laws, and fellow guests throughout their visit. Should a traveller’s conduct significantly disrupt the tour experience, compromise the safety of others, or breach local laws and regulations, Phuentshok Tours & Treks reserves the right to withdraw travel services without refund where necessary.
11. Conflicting Terms
In the event of any inconsistency or conflict between these Terms & Conditions and information published elsewhere or communicated through other materials, the Terms & Conditions set out on this page shall prevail.
12. Updates to Terms & Conditions
These Terms & Conditions may be updated periodically to reflect changes in services, regulations, policies, or operational requirements. The latest version and effective date will always be displayed on this page.
We encourage you to review these Terms & Conditions periodically. By continuing with your booking after any updates are published, you agree to be bound by the revised terms.
